Greetings to all potential exhibiting artists! This year’s 7th Annual Staff + Parent Art Exhibition will be held May 10-17, 2019 in the YIS Library. The opening night festivities – food, drink, live music, and, of course, art – will be Friday May 10 from 4-6pm.
Please read the information below carefully so that you are fully informed about how to participate. Thank you!
All parents, teachers, and staff members of the Y.I.S. community are welcome and invited to participate in the exhibition.

Each artist is responsible for his/her own:
- mounting/matting/framing of art
- removal of artwork
NUMBER OF ARTWORKS ALLOWED
Due to the limited space in the library, we would like to limit the number of artworks per artist to:
- one large artwork
- or two medium-sized pieces
- or several small pieces
Thank you for your understanding of the space constraints.
SET-UP OF ARTWORK
Set-up should be done by each artist personally (librarians are not responsible for the artwork) in the library between NOON WEDNESDAY May 8 and 4pm THURSDAY May 9.
***PLEASE RESPECT YOUR FELLOW ARTISTS: DO NOT MOVE SOMEONE ELSE’S ARTWORK. The exhibition spaces are available on a first-come basis.
KATY VANCE, xxxxxxxx – LIBRARIANS
The gallery space is managed by Ms. Vance and Ms. xxxxxxx. They will advise as to where & where not to set up your artwork (please be aware that they are often busy working with students).
REMOVAL OF ARTWORK
The exhibition ends on Friday May 17; artists should remove their work on that day (please email Ms. Vance or Ms. xxxxxxx ahead of time if you are unable to do so: email@example.com, firstname.lastname@example.org).
Each artist may or may not choose to exhibit his/her artwork “For Sale” (please indicate your choice in the GoogleDoc Sign-Up above). The proceeds*** from sold artwork will go to the YIS Student Service Committee, who will decide how best to allocate the funds. The work will be auctioned off in a Silent Auction format — open for bids for the entire duration of the exhibition (Friday May 11 – Friday May 18 @4pm).
***PLEASE NOTE: Each artist decides how much of the proceeds go to the Committee; for example, an artist may choose to keep a portion of the funds to cover their cost of framing or of materials. In the past, most artists have donated 100% of the proceeds
MOUTING/MATTING/FRAMING OF 2-D ARTWORK
We understand that no one wants to spend an exorbitant amount of money to prepare his/her art for display. At the very least, we want to be sure that your work is displayed clearly & professionally and does not crumple or fall or get damaged. A very minimal method of mounting your work might be to pin it in each corner to a same-size piece of cardboard or foamcore. Additionally, ready-made mat boards and frames (and foamcore) are available at stores such as Yurindo in Kannai, Tokyu Hands at Yokohama Station, or Yuzawaya at Bay Quarter (for directions, scroll to the top of this page and click “Local Resources for Art” in the left-hand column). Reasonably-priced, ready-made frames are also available at IKEA; check here.
DISPLAY OF ARTWORK
Although we have ample shelf-top space for art-on-small-easels and for 3D work to sit upon, be aware that wall space is quite limited (if it’s to be hung, you will need to have a wire or hook on the back of the artwork as we won’t be able to supply those). We will have some easels available on a first-come basis; however, most are not large. You are strongly encouraged to bring your own easel (please label it with your name). Note that there are very inexpensive easels at some 100 Yen shops; also, Amazon has lightweight collapsible black metal easels for about ¥3,000 each; check here.

MOUNTING OF FABRIC OR ODD-SIZED ARTWORK
Prepare your mounting strategy ahead of time and realize that your work may be hung from a wall or bookshelf or may need to be displayed on top of a shelf or table. Your ideal method of display may not be available, and we apologize for that. Drop by the library ahead of time to see what is possible.
Please create and print a label for your artwork. Here is an example:
Generally, you want to indicate Name, Title (if any; “Untitled” if none), Year created, and Media (primary materials used; “oil on canvas”, “earthenware clay”, “India ink on paper”, etc.). And although not necessary, you are also welcome to include a brief Artist Statement or Biography if you would like to convey information about the artwork, its genesis, inspiration, process, etc., or about yourself. Labels should be displayed adjacent to or below your artwork (perhaps secured with a piece of tape on the back so it doesn’t get lost).
We’ll be making our best effort to turn a busy library into an art gallery, so thank you for your understanding of the limitations. We are excited that you are choosing to participate this year!
